AI agents and integrations

AI agents connected to your ERP: they prepare the repetitive work, and your people confirm what matters

Orders arrive as PDFs and have to be retyped. Delivery notes have to be checked against orders. The same summary is rebuilt every week. An AI agent does this work on the systems your company already has. It prepares the operation, a person confirms it, and every step is logged.

Example of an AI agent working on the ERP. An order from Customer B, received as a PDF, becomes a draft with item codes and prices checked and the delivery date still to be decided. The sales manager confirms it, and the log records the reading, the draft, the confirmation and the entry.

Your ERP stays. The work around it is what changes

The system has run the business for years. The problem is how much manual work it takes to feed it.

Orders arrive by email as PDFs, and someone retypes them line by line. Supplier delivery notes are checked against orders by hand. The summary for management is rebuilt every week by copying the same figures.

That is where an AI agent comes in. It is an assistant that goes beyond answering. It reads a document, checks the data in your systems and prepares an operation. There is no need to change your ERP.

Putting it off costs you every month. Orders go in late, overtime piles up at month end, and your most skilled people spend their time copying and pasting.

Example of the starting point. The orders inbox holds three PDFs waiting to be entered and a reminder from a customer. A PDF order is being retyped by hand into the entry screen of an old ERP, which shows the warning ‘item code not found’.

The agent prepares, a person decides

Four steps for every operation, always in the same order.

An agent carries out operations in your company’s systems. That is why its access is designed like an external supplier’s, with written tasks, limited permissions and controls.

At first, a person confirms every operation. For low-risk operations, if the log shows the agent rarely makes mistakes, the company can decide to move to spot checks.

The path of an operation

01The agent proposesIt reads the document, retrieves the data and prepares the operation with the checks already done.
02A person confirmsThey see what is about to happen and why. They confirm, correct or reject it.
03The system executesOnly after confirmation, using an account that can do that one thing and nothing else.
04Everything is loggedThe proposal, the confirmation and the execution, with date and person.

Do you have to touch the ERP?

Usually not. We add a controlled connection and test it separately first.

The agent connects from outside, through the routes your systems already offer. Written rules set what it can read and what it can do. If an older system has no such route, we choose one with the people who maintain it.

Example of an agent going live, with test cases passed, the account’s permissions (reads orders and price lists, creates drafts, cannot delete, cannot send to customers, no access to payments), a stop switch and periodic checks.

Data read, not changed

The agent consults the databases without being able to change them or slow them down.

Minimum permissions

It creates draft orders but cannot delete them. It reads price lists but cannot change them.

Testing first

Tests run in a separate environment on agreed cases. Work moves on only if the results add up.

Back to manual work

A switch turns the agent off without losing anything. It is tested before launch.

Which operations to give an agent, and with what controls

Two questions are enough. If the agent gets it wrong, can it be undone? And what does the mistake cost?

An indicative example. The real classification is made for each company during the initial assessment, with the person accountable for the process. Our checks follow the list of the best-known risks of these systems, published by OWASP, a non-profit foundation dedicated to software security. These risks include an agent with more autonomy than it needs, and instructions hidden in the documents it reads.

How a project runs

How long it takes, who looks after it, what the company keeps. The answers are below.

First conversation

We look at the process, the systems involved and who runs them.

Process analysis

We record today’s volumes, exceptions and errors, so that the results can be compared.

Written proposal

Phases, timescales and costs, what is included and excluded, and the criteria for calling the work a success.

Testing and launch

First in a test environment, then on real work, with a person confirming.

Ongoing use

Strategic runs it, with support times and terms written into the contract. Or it passes to your in-house IT.

How long does it take?
The first agent starts on a single process. The proposal sets its phases and milestones, which depend on how many systems need connecting and how they are built.
What does it cost?
There is no price list. On top of the build there are running costs (models, infrastructure, maintenance), set out in the proposal. The first conversation carries no commitment. If there is work to be done, you receive a written proposal for the initial assessment, usually one or two days of work with the people involved. After the assessment comes the proposal for the project, with phases, timing and costs.
Who looks after it?
Our development, database and security specialists handle it, with a single point of contact. On your side, you need the process owner and an IT contact.
What if it doesn’t work?
The success criteria are written in advance. If the agent does not meet them in testing, it does not move on to real work. We fix it, narrow the scope or stop.

What we don’t do

  • We don’t give an agent wider permissions than its task needs.
  • We don’t entrust payments, bank details or signatures to an agent.
  • We don’t promise percentage savings before we have looked at the process.
  • We don’t launch an agent without an internal owner who is accountable for it. When one of Strategic’s tools is among the options, we say so.
A good agent is not the one that does the most. It is the one whose every action, and the reason for it, you can see at any moment.

Frequently asked questions about AI agents

What is an AI agent, and how is it different from a chatbot?
A chatbot answers a question. An AI agent carries out a task. It reads a document, consults the company’s systems and prepares an operation, such as a draft order. Because it acts on your systems, it has limited permissions, a person confirms the operations that matter, and everything it does is logged.
Can an agent be connected to an old or customised ERP?
It depends on the routes the system offers. The ERP is not modified. Data is read through access agreed with whoever administers it. If there is no safe route, we say so in the initial assessment, before the company spends money on development.
Who is accountable if the agent makes a mistake?
The company is, as with any tool it uses. That is why every agent has an internal owner. Operations that matter go through a person’s confirmation and every step stays in the log, so an error can be traced and corrected.
Does company data end up with the AI model providers?
Where the data is stored and processed is decided with the company’s IT team and written into the project. As a rule, we choose services that process data within the European Union. The agent receives only the data its task needs, not the whole archive, and the provider’s contract is read before signing.
What happens if the model provider changes its terms or prices?
The process rules are kept separate from the AI model, so the model can be replaced. Every change is tested first in the test environment, with the same cases used at handover.
Does the AI Act also cover agents used inside a company?
Yes. Organisations that use an AI system in their business must prepare the people who use it. Since 2 August 2026, they must also say when someone is talking to an assistant. If the agent is involved in decisions about staff, stricter rules apply from 2 December 2027. Legal assessments remain with the company’s lawyers. The full timeline
